What Is a CRM for an Education Consultancy?

What a CRM does for a study-abroad consultancy in Nepal, how it differs from Excel and WhatsApp groups, and the signs that you need one now.

A CRM for an education consultancy is one shared system that holds every enquiry, every student file and every follow-up, so nothing depends on one counselor's phone or memory. It replaces the mix of Excel sheets, WhatsApp groups and notebooks most consultancies start with. Whether you need one depends less on your size and more on how often things slip.

What "CRM" means for a consultancy

CRM stands for customer relationship management. In a study-abroad consultancy the "customer" is a student, and the relationship can run from a Facebook message in one intake to a visa grant many months later. A consultancy CRM keeps that whole journey in one record:

  • Where the lead came from: a walk-in, Messenger, Instagram, WhatsApp, your website or a sub-agent.
  • Where the student stands: inquiry, counseling, test prep, documents, applications, visa.
  • What is missing: which documents have arrived and which are still due.
  • What was said: notes, calls and messages, with who did what and when.
  • What is owed: what the student has paid and what is due, and what the university will pay you.

A general sales CRM can store some of this, but usually needs a lot of setting up before it understands destinations, intakes, document checklists and university commissions.

What it replaces

Most consultancies in Nepal run on three tools that each work well on their own:

  1. Excel for the student list.
  2. WhatsApp groups for passing on leads and chasing documents.
  3. A notebook or a second sheet for money.

The problem is the gaps between them. A Meta ad lead arrives and nobody owns it. A passport photo sits in a counselor's chat, not in the student's file. Nobody can say quickly what each university still owes in commission. A CRM closes those gaps by keeping the lead, the documents and the money on the same record.

Signs you need one now

You don't need software because you have a certain number of students. You need it when the gaps start costing you. Watch for these:

  • Leads go unanswered because everyone assumed someone else replied.
  • Follow-ups depend on memory, so busy weeks mean missed calls.
  • Documents arrive one photo at a time and nobody can tell whose file is complete.
  • Commissions are tracked on paper, or not tracked at all.
  • A counselor leaves and their students' history leaves with them.
  • You can't answer a simple question, such as how many leads came in this month, without asking three people.

If two or three of these sound familiar, a CRM is probably worth a look. Our guide to Excel vs a CRM covers when a spreadsheet is still enough.

What to look for

When you compare systems, ask how each one handles the work that is specific to a consultancy:

  • Pipelines by destination, with stages you can rename to match how you work.
  • Document checklists by country, with a way for students to upload from their phone.
  • One inbox for every channel, so Messenger, Instagram, WhatsApp and website chat don't live in four apps. See setting up one inbox.
  • University commissions and sub-agent payouts, tracked against the real application. See tracking university commissions.
  • Roles and data protection, so counselors see only what their job needs. See protecting your student list.
  • Nepal-specific details: Bikram Sambat dates, NPR, VAT, TDS, Fonepay, eSewa and Khalti.
  • Pricing that doesn't punish growth. Per-user pricing usually means a bigger bill every time you hire.

How to start without disrupting the office

Moving to a CRM doesn't have to mean a big switchover weekend:

  1. Import your current students from Excel or CSV and check the preview before anything is saved.
  2. Connect the channels where leads already arrive.
  3. Run it alongside your current way of working with a few counselors for two weeks.
  4. Decide with real data whether to continue.
